logging in

 

  1. open millennium (on desktop)
  2. login (get username/pswd from Nicole)
    1. service desk login
    2. personal login
  3. pop-up window: "print date due slips?"
    1. "no"
    2. if accidentally press "yes," it still won't print (not hooked up to our printer)
  4. two windows will appear on the taskbar
    1. main millennium window
    2. control box
      1. don't close this, or it will close the main millennium window

 

checking status

(book status "available," but not on shelf)

  1. click on icon at left, "search/holds"
  2. can search various fields; call # is the most effective
    1. ex.: "p 93.5 t85 1990"
  3. click on appropriate item in list (highlight in blue)
  4. will call up item record
    1. "LCHKIN" = date last checked in
      1. this will display even if item has been since checked out; check the "last due date" field to be sure
      2. check reshelving area
      3. if the date is yesterday's, it's probably down in circulation
      4. if date is about a month ago or so, patron should place a search with circulation
    2. "location" = will tell if item is in reserves, etc.
    3. "I type" = item type
      1. 1 = circulating material
      2. 22 = non-circulating (status = x, library use only)

 

check-out

  1. scan patron's ID
    1. check to be sure their photo matches them
    2. scan so that their photo is toward you
    3. yellow courtesy cards
      1. if expired, send to circulation
      2. otherwise, scan barcode
    4. any problems with ID: send patron to circulation
  2. scan item barcode
    1. lists automatic due date
    2. lists blocks of any/all types
      1. if there is a block, send them to fines desk
        1. open M-F 8-5, take credit/cash/check
      2. if fines desk closed, send to circulation
        1. take check/money order
    3. mark due date on slip
    4. mark info down on paper at GovDocs desk

 

check-out: library use only items

  1. scan item barcode
  2. pop-up window: "want to clear it?"
    1. "no"
  3. pop-up window: "checkout item anyway?"
    1. "yes"
  4. automatically sets a one-day checkout
  5. to change due date:
    1. click "change due date"
    2. login with initials/pswd (different from username/pswd login)
    3. pop-up calendar
      1. click on appropriate date
      2. if checking out multiple items with same due date, check the checkbox
      3. click "ok"
    4. mark due date slip with due date
    5. mark info down on paper at GovDocs desk
    6. tell patron to return item to service desk that checked it out (third floor)
    7. tell patron to let checkout desk person know that they have a library-use-only item
      1. desk person will check the due date slip

 

check-in

  1. scan item barcode
  2. "amount due" will display the assessed fine, if any
  3. write on date due slip:
    1. note when/where returned
    2. note fine amount, if any

 

status

  1. to change status:
    1. from item record, click "edit"
    2. will be asked to re-login (if at service desk)
    3. ask Valerie about "on search" procedure for GovDocs
  2. "on holdshelf" = all holds at circulation

 

other

  1. don't issue temporary IDs (have to qualify for a courtesy card)
  2. texshare patrons limited to 5 items at a time (regular patrons = no limits)
  3. can put "note" in patron record
    1. click "insert"
    2. used for payment plan, etc.
      1. will have next payment plan due date
      2. call circulation if have question or need note
    3. "view" = see all notes in a patron record
  4. main page: "file"
    1. shows recent patrons (last 10)
  5. main page: "edit"
    1. change preferences (font, color, etc.)
  6. main page: "admin"
    1. set initials (if at service desk)
    2. be sure to "clear initials" when leaving service desk
  7. to create lists, call Mary Ann for details
    1. for on search, overdues, etc.
    2. best done on nights or weekends (can tie-up system)

 

Note: Nicole can issue/change username/initials and password (can change all pswds to match, if desired).
