CRS Subject-Heading Assignment

The Librarian for Digital Collections, Government Documents is responsible for assigning subject headings to CRS report records, before they are uploaded to the UNT server.

Basic Method

  • open P:\CRS Project\template.xls
  • copy to a dated file (example: 20061009.xls)
  • look at column G for report filenames
    • hide columns A-F and H-R to view only columns G (filename) and S+ (top terms / subject terms)
  • find reports in P:\CRS Project\
    • go to appropriate year folder
    • scroll through filenames
  • open reports
  • use title, summary, intro to obtain subject
  • log into LIV to obtain subject heading terms
  • enter terms into spreadsheet
  • when finished with a batch (end of the week):
    • save
    • send to Kurt for upload
    • copy and paste completed records into crs_data.xls

 

Faster Method

  • open P:\CRS Project\template.xls
  • copy to a dated file (example: 20061009.xls)
  • look at column G for report filenames
    • hide columns A-F and H-R to view only columns G (filename) and S+ (top terms / subject terms)
    • __copy filename__
  • find reports in P:\CRS Project\
    • __right-click on appropriate year of CRS folder__
    • __select "search"__
    • __paste filename into search field__
    • __open report from search window__
      • __leave search window open for next document__
  • use title, summary, intro to obtain subject
  • log into LIV to obtain subject heading terms
  • enter terms into spreadsheet
    • __close report when finished, but not acrobat reader__
  • when finished with a batch (end of the week):
    • save
    • send to Kurt for upload
    • copy and paste completed records into crs_data.xls
